Leave of Absence Procedures
Students who need to take leave of absence should refer to Chapter 7 of Regulations on Undergraduate Studies 2022 or Chapter 9 of Regulations on Graduate Studies 2018 and follow these procedures:
- Complete Request Form for Leave of Absence (CR49)
- After submitting the form, you will receive a CR49 form in PDF format via your student e-mail (66xxxxxxxx@student.chula.ac.th). Submit the CR49 form together with proof and/or reasons for leave of absence to the Faculty’s Registrar Office.
- Pay student status maintaining fee via CUNEX Application within the first two weeks of the semester (Undergraduate students: 1,000 baht; Graduate students: 5,000 baht per semester), except if the tuition fees for the leaving semester has already been paid.
- If you have already paid the tuition fees for the semester in which you are taking leave of absence, but later then submit the CR49 before the start date of the semester, you can pay the student status retaining fee and submit CR45 (Request Form for Refund) to receive tuition fees refund within the 6th week of the semester.
- Students who intend to not register and will take leave of absence must submit the CR49 form and pay student status maintaining fee within the first two weeks of the semester or else your student status will be terminated due to failure to register or maintaining student status.
REQUEST FOR LEAVE OF ABSENCE MUST BE SUBMITTED WITHIN THE LAST DAY OF STUDIES IN EACH SEMESTER.
UNDERGRADUATE STUDENTS
According to Chulalongkorn University Regulations on Undergraduate Studies 2022, Chapter 7:
- Per one request, students can take leave for no more than two consecutive semesters. If you need to extend your leave, you will have to submit another request (Article 56).
- To request leave of absence due to military enlistment (Article 54(1)) and due to international student exchange scholarship program or any scholarship program that is beneficial to the study (Article 54(2)), you must submit supplementary documents as proof along with the request form.
- To request leave of absence due to medical reasons (Article 54(3)(4)): if you are sick and require medical treatment or rest on doctor’s order for a period exceeding 20% of the entire study period or more than 3 weeks, you must submit a doctor’s certificate issued by a government hospital, a private hospital accredited by the Ministry of Health, or any institutes under Chulalongkorn University with a medical staff authorized to issue a doctor’s certificate along with the request form.
- To request leave of absence due to personal reasons (Article 54(5)), the leave must be approved by the Faculty’s administration board. For students studying before academic year 2021, you must have already studied for at least one semester.
- Leave of absence period is counted toward the student’s period of study, except the leave is due to military enlistment (Article 54(1)).
Graduate Students
According to Chulalongkorn University Regulations on Graduate Studies, Chapter 9:
– Students wishing to take a temporary leave of absence form their studies must submit a request together with all other necessary documentation to the Dean, after receiving approval from the Program’s Administrative Board. If the leave is during thesis/dissertation writing, then the leave must be approved by the Faculty’s Administrative Board. (Article 105)
– Per one request, students can take leave for no more than two consecutive semesters. If you need to extend your leave, you will have to submit another request (Article 105)
– Students may take leave of absence only after they have been registered for courses for at least one semester, except in any of the following circumstances (Article 107):
1. Military Service Enlistment:
– in this case, leave of absence period is not counted toward the student’s period of study.
2. Undertaking Research Abroad:
– In this case, only one semester of leave of absence period is not counted toward the student’s period of study; any further leave is counted.
– when it is decided that the leave of absence period is not to be counted toward the student’s period of study, the Faculty should notify the Office of the Registrar.
3. Hospitalized for more than three consecutive weeks
– in this case, leave of absence period is not counted toward the student’s period of study (Article 108).
– medical certificate is required.
– a receipt specifying the cost of the hospital room is required.
4. Required to take medical leave for more than three consecutive weeks, on doctor’s orders
– a medical certificate is required.
– in this case, leave of absence may not be counted toward the student’s period of study by the approval of the Graduate School.
– when it is decided that the leave of absence period is not to be counted toward the student’s period of study, the Faculty should notify the Office of the Registrar.
5. Received an exchange program abroad scholarship or other funding indirectly related to the program:
– In this case, only one academic year of leave of absence period is not counted toward the student’s period of study; any further leave is counted.
– when it is decided that the leave of absence period is not to be counted toward the student’s period of study, the Faculty should notify the Office of the Registrar.
6. Uncontrollable or Emergency Circumstances, preventing the students from pursuing studies:
– Evidence of the circumstances must be provided.
– in this case, leave of absence may not be counted toward the student’s period of study by the approval of the Graduate School – when it is decided that the leave of absence period is not to be counted toward the student’s period of study, the Faculty should notify the Office of the Registrar.
